Speaker Guidelines - FOSS4G Hiroshima 2026

FOSS4G Hiroshima 2026 is getting closer, and preparations are going smoothly. We're working hard to make this a great conference for everyone.

Here are a few things to keep in mind as you prepare your presentation.

Presentation Slot Lengths

General Session & Academic Track Talk: A regular talk is allocated a 30-minute slot: 20 minutes for the talk, 5 minutes for questions and answers, and 5 minutes for participants to change rooms and for the next speaker's setup.
Lightning Talk: A lightning talk is a 5-minute speaker slot, with 4 minutes for the talk and 1 minute for the next speaker's setup.
Sponsor session: Presentation time varies depending on your sponsorship rank. Please check the Sponsorship Prospectus for details. Note that the timetable includes the changeover time (e.g., Diamond: 25 minutes for the talk + 5 minutes for changeover).

Please use your own laptop for your presentation.
Windows and macOS are the recommended operating systems.
Power adapters and chargers will not be provided. Please bring your own if needed.

Display Connection: HDMI (USB-C to HDMI adapters are available for loan, but since the quantity is limited, those who need one should prepare their own)
Microphones: Wireless microphones are available in Phoenix Hall, Dahlia, Cosmos, and Ran. No microphones are used in the Meeting Rooms.
Laser Pointers & Presentation Remotes: These will not be provided. Please bring your own if needed.

A 16:9 aspect ratio (1920 × 1080 px recommended) is recommended.
If your presentation includes videos, audio, animations, or custom fonts, please verify that everything works correctly before your session.

Wi-Fi will be available for speakers on the day of the conference. If your presentation requires a more stable Internet connection, please prepare an alternative such as mobile tethering.
If your presentation depends on websites, cloud services, or external APIs, please prepare offline alternatives in case of network issues.

Please check your laptop connection during the registration period or between sessions.
There is no Speaker Ready Room.
Please arrive at your presentation room at least 30 minutes before your session starts.
After arriving, please check in with the session chair or room staff.

Japanese–English interpretation will be provided for Keynote sessions only.
Keynote speakers may be asked to share their presentation slides in advance if necessary.

Keynote, Talk, and Lightning Talk sessions will be recorded.
Recordings will be published on the OSGeo.JP YouTube channel after the conference.
Sessions will not be live-streamed.
Please ensure that your slides and demonstrations do not contain personal information, authentication credentials, API keys, passwords, confidential information, or other sensitive content.
